Organising people & events
The information
team
yell
holds about your people is described below:
First name
:
The person's first name. This field is required.
Last name
:
The person's last or surname. This field is optional.
Email address
:
The person's email address. This field is optional. If this field is not specified then the person will not be able to receive email invitations, rosters or reminders.
Mobile phone number
:
The person's mobile phone address. This field is optional. If this field is not specified then the person will not be able to receive text reminders.
Home phone number
:
The person's home phone number. This field is optional.
Notes
:
Any notes you want to keep about the person. This field is optional.
Password
:
The person's log in password. This field is only shown in the "My Profile" window.
This person wants
:
Everyone gets emailed an invitation to

and everyone automatically gets emailed a roster whenever the roster changes in a way that affects them personally. The next settings allow each person to control what other information they receive.
Email reminders
:
Does this person like receiving reminders via email before events?
A person will only receive email reminders if:
There are events with "Send email reminders" set to say "1 day before" (anything except "No")
The person is rostered onto the event
The person has an email address specified
The person has this setting "Email reminders" set to Yes
The "Reminders" checkbox on the member page "messages - publish" is checked

Text reminders
:
Does this person like receiving text reminders before events?
A person will only receive text reminders if:
There are events with "Send text reminders" set to say "1 hour before" (anything except "No")
The person is rostered onto the event
The person has a mobile phone number specified
The person has this setting "Text reminders" set to Yes
The "Reminders" checkbox on the member page "messages - publish" is checked
The group has enough money in its account to pay for the text message. View the balance

This person monitors
:
Everyone automatically gets emailed a roster whenever the roster changes in a way that affects them personally. However team managers and event managers may want to be informed as soon as someone else says "Yes, I can attend this event" or "No, I can't attend this event", so they can respond to this new information. The next settings allow managers to monitor roster status changes made by other people.
Events
:
What events does this person want to monitor? This setting allows managers to monitor roster status changes made by other people. When someone else changes their status, the manager is emailed a roster alert. The options are:
None
: The person does not want to monitor any events
Their own Events
: The person wants to monitors the events that they are rostered onto
All Events
: The person wants to monitor all events
The manager is sent the alert about 15 minutes after the change is made. This delay is a good thing. It means that if someone changes their status on 5 events over the period of a few minutes, the manager gets one roster alert email rather than 5. You can view a sample roster alert

Status changes
:
What types of roster status change does this person want to monitor? This setting allows managers to monitor roster status changes made by other people. When someone else changes their status, the manager is emailed a roster alert. The options are:
All changes
: The person wants to monitor all status changes
Monitor Yes's
: The person wants to know when someone says "Yes. I can attend this event"
Monitor No's
: The person wants to know when someone says "No. I can't attend this event"
Monitor Maybe's
: The person wants to know when someone says "Maybe. I'm not sure whether I can make it to this event"
This setting works together with the previous "Events" setting. If the "Events" setting is "None" then this setting is ignored & no roster alerts are sent. You can view a sample roster alert

Other
:
Sundry other settings. This heading is only shown in some windows.
Newsletter
:
Does the person want to receive the monthly
team
yell
newsletter containing tips, news, new features, special offers, etc. This field is only shown in the My Profile window.
Access Level
:
What information can this person update? The options are:
Member:
The lowest level of access. Can edit their own details & confirm their roster. They can view events & rosters but can't change them.
Manager:
A medium level of access. Can do everything a Member can and more. Can add, edit & delete people. Can add, edit & delete events. Can update rosters. Can send messages.
Administrator:
The highest level of access. Can do everything a Manager can and more. Administrators change the Access Level of other people (including making other people Administrators). Administrators can change the group profile settings.
When a new group is created the founder of the group is automatically an Administrator and everyone else is a Member. This field is only shown in some windows.
